Working with consignment in Rackbeat

If your customers use consignment stock, you can create them as locations in Rackbeat, move goods to the location, and invoice the customer for the quantities sold.

Overview

There are three main steps when working with consignment in Rackbeat:

  1. Sales order and inventory movement to the customer

  2. Invoicing and inventory deduction

  3. Possible return or new delivery

Below, we go through each step in order.


Step 1: Create order and move goods to the consignment warehouse

Create a consignment location

First, you need to create a consignment location per customer. This location is used to keep track of the goods that are physically located at the customer.

Create a sales order

  1. Go to Sales → Orders and create a new sales order.

  2. Add the products that should be sent to the customer on consignment.

    1. Make sure to select the customer’s consignment location on the order lines.

Create a movement (inventory movement)

  1. From the sales order, create an inventory movement.

    1. Open the order and click Actions.

  2. The movement is created as a draft.

  3. Go to Products → Movements and book the movement so the goods are moved to the customer’s consignment warehouse.


Step 2: Invoicing and inventory deduction

When you receive an invoice from the customer

  1. Go to Sales → Orders and find the original sales order.

  2. Open the order and click Actions → Reopen.

  3. Edit the order so it matches the customer’s invoice (quantities and products).

  4. Create and send the invoice to the customer.

Inventory deduction (shipment)

Create a shipment either from the sales order or in connection with posting the invoice.

Important: Make sure that the inventory location is set to the customer’s consignment location so the goods are deducted from the correct stock.


Step 3: Next steps

Do you receive goods back from the customer?

  1. Go to Products → Movements.

  2. Create (or import) a movement that moves the goods from the customer’s consignment location back to your own warehouse.

Do you need to create a new delivery to the customer?
If more goods need to be sent on consignment:

  1. Go to Sales → Orders.

     

  2. Find the existing order and copy it.

    • Open the order and click Actions, or hover over the three dots in the order overview and click Copy order.

  3. Adjust quantities and add or remove products as needed.

  4. Then return to Step 1 and repeat the process.
