Creating an Agreement in Rackbeat

Creating an agreement in Rackbeat is a simple process. Follow the guide below to create your own Rackbeat account.

  1. Go to https://rackbeat.com/en/.

  2. Click “Become a Customer.”

  3. You will be directed to a page where you must enter your company information such as company name, username, email address, phone number, country, language, and password.

  4. On the same page, you must read and accept our terms and conditions and decide whether you want to subscribe to our newsletter.

  5. Once you have completed the above, confirm that you are not a robot and then click “Create your agreement” to set up your Rackbeat account.

  6. You will then be directed to a new page while the account is being created. This may take a few minutes, so please stay on the page!


Setup Process

In the next step, you will go through the setup process.

  • Subscription: First, you will need to select which subscription your Rackbeat account should have.
    See the difference between Premium and Basic here.

  • Company Information: Enter your company details.

  • Inventory Principle, Currency & Inventory Adjustments:
    You will then be directed to a page where you must decide on your inventory principle, your default currency, and when you want your inventory adjusted in connection with invoicing or shipping.

    • Inventory principle: By default, you can only choose Average Cost Price. With a Premium subscription, you can also choose FIFO. We recommend only choosing FIFO if you are experienced with this inventory method.

    • Primary Currency: Select your default currency. This will also be reflected in your Rackbeat agreement and cannot be changed after setup.

    • Inventory linked to invoicing: Decide when your stock should be adjusted – when you create a shipment/receipt, or when you create an invoice.
      This setting can be changed later.

  • Integrations: Next, you will be asked if you want to start an integration with an accounting system. You can skip this step and return to it later.

  • Multiple Warehouse Locations: If you are working with multiple warehouse locations, you can create them at this step. This can also be skipped and set up later.

Your account is now created!

How to Create Your Products, Suppliers, and Customers

There are three ways to add your own data into the system:

  1. Manually create each product, supplier, and customer.

  2. Import your data.

  3. Integrate your account with your other programs.

Here’s how to work with products:

Manual Product Creation

  1. Click the “Items” tab at the top.

  2. Select “Products” in the menu.

  3. Click “Create new” in the top right corner.

  4. Fill in the general product information.

    1. Sales prices in Rackbeat must always be entered excluding VAT.
  5. Click “Create product” to finish.

Import of New Products

  1. Click the “Items” tab at the top.

  2. Select “Products” in the menu.

  3. Click “Import” in the top right corner.

  4. You can either upload your own Excel file or download an example file by clicking “Example file.”
    We recommend downloading and using the example file to ensure that your data is formatted correctly for the import.

Your dataset must meet certain criteria for the system to read it correctly. [Read more about requirements here].
