How to Create Product Collections

Product collections allow you to group multiple products and sell them as a single unit, such as a gift basket or a set. Below, we will guide you through the process of creating a product collection.

An item bundle allows you to quickly add a collection of items to quotes, orders, and invoices in Rackbeat. This is useful if you frequently sell a group of items together.

Item bundles are similar to bills of materials but with one important difference:

  • Bills of Materials: A collection of items sold as a single item. On documents such as invoices, bills of materials appear as one combined item, e.g., "Gift Basket 2024".

  • Item Bundles: A quick way to add a group of items, where each item appears on its own line on documents like invoices.


Creating Item Bundles

Follow these steps to create an item bundle in Rackbeat:

  1. Select the “Items” tab at the top.

  2. Click on “Bundles” in the menu.

  3. Click “Create New” at the top right.

  4. Fill in the information for the item bundle and click “Create”.

    1. Number: Choose the number for the item bundle. If left blank, Rackbeat will automatically assign a number.

    2. Barcode: If the bundle has a specific barcode, you can enter it here.

    3. Description: You can enter a description for the item bundle in Rackbeat.

    4. Name: Enter the name of the item bundle. This is the only required field. The other fields—"Number," "Barcode," and "Description"—are optional.

Click “Add New Line” to add products to your item bundle.

Select a product and the quantity to include in the bundle.

  • Item: Select the specific item you want to add to your bundle.

  • Override Item Name: If this box is checked, you can modify the item name. This will enable the “Text” field below.

  • Text: Here you can change the item name. If the field is greyed out, it's because the “Override Item Name” box above is not checked.

  • Quantity: Select the quantity of this item to be included in the bundle.

  • Line Price: Change the sales price of this item line. If no specific line price is set, the bundle will use the item’s regular sales price.

  • Discount (%): Adjust the discount rate for this item line.

Click “Save and New” to add the next product or just “Save” if you don’t want to add more items to the bundle.

Once all desired products have been added to the item bundle, click “Save” and then “Save Changes” to finish.

Tip: You can copy an item bundle to easily create similar packages with small adjustments. Find your bundle overview, hover over the three dots, click “Copy Item Bundle”, and make your edits.

Using Item Bundles

Go to one of the following:

  • Purchasing

  • Purchase Orders

  • Supplier Invoices

  • Sales

  • Quotes

  • Orders

  • Invoices

Create one of them, e.g., an order.

Click on “Add Item Bundle” to add a bundle to the order.

Select the bundle and specify how many times you want to add it.
