Notes in Rackbeat
Rackbeat allows internal notes on modules visible during order handling; notes appear after confirmation and differ from external notes.
In Rackbeat, it's possible to add internal notes within certain modules, which will then be visible when handling orders and invoices.
Modules Supporting Notes:
You can add internal notes to the following areas:
-
Suppliers
-
Purchase Orders
-
Supplier Invoices
-
Customers
-
Offers
-
Sales Orders
-
Shipments
-
Sales Invoices
Visibility of Notes:
-
Internal notes will only appear once an offer, order, shipment, or invoice is confirmed or booked.
-
If you add a note to a supplier or customer, this note becomes visible when creating or managing offers, orders, shipments, or invoices related to that supplier or customer.
Creating a Note on Suppliers or Customers:
Creating notes on suppliers or customers follows the same procedure:
-
Locate the supplier or customer you want to create a note for and click on their supplier/customer number.
-
Click on "Notes" in the top menu.
-
Enter your note and click "Save" to confirm.
Viewing Notes While Creating an Invoice or Order:
-
When creating an invoice or an order, notes become immediately visible. After creating the order or invoice, a notification box will appear stating: "The customer has X note!"
-
Click on this box to review the notes associated with the specific customer or supplier.
Frequently Asked Questions (FAQs)
Why isn't the note notification box appearing after I've created a note on my customer/supplier?
If the notification box does not appear, the note might have been saved incorrectly or created on a different customer/supplier. Verify that you've selected and saved the note for the correct customer/supplier.
On my order, there's another field called "Note". What is this used for?
The "Note" field you see when creating an order is for external use. Information entered here will appear on the PDF sent to the recipient, thus making it distinct from the internal notes discussed above.
