Sales Module Export

Under the Sales tab, you can export your quotes, orders, invoices, and customers. This guide walks you through what data can be exported and how to do it.

Export guide

The export function is always located in the top right corner of Rackbeat. It may be labeled either Export or Import / Export.

When opening the export function, you will typically be asked to select both Type and Headers.

  • Type indicates whether you want to export the main information (e.g., an order) or the related item lines.

  • Headers define which data fields to include in the export. Each header corresponds to a field in either the order or item line and becomes a separate column in the exported file.

This way, you can tailor the export file exactly to your needs.


Offers

For quotes, you can export either Quotes or Quote Lines.
Select one of these under “Type” in the pop-up when choosing to export:

  • Quotes – Exports the main data of quotes from the overview.
    Includes all quote information such as contribution margin, total price, custom fields, etc.

  • Quote Lines – Exports all item lines from quotes in the overview.
    Contains only the item lines, including all info such as weight, price, quantity, custom fields, etc.

Orders

For orders, you can export either Orders or Order Lines.
Select one of these under “Type” in the pop-up when choosing to export:

  • Orders – Exports the main order data from the overview.
    Includes all information such as address, references, totals, etc.

  • Order Lines – Exports all item lines from orders in the overview.
    Contains only the item lines, including all info such as weight, price, quantity, custom fields, etc.

Customer invoices

For customer invoices, you can export either Customer Invoices or Customer Invoice Lines.
Select one of these under “Type” in the pop-up when choosing to export:

  • Customer Invoices – Exports the main data of invoices from the overview.
    This does not include the actual PDFs but rather the invoice data from the system in a file.
    Includes details such as invoice date, references, totals, etc.

  • Customer Invoice Lines – Exports all item lines from invoices in the overview.
    Contains only the item lines, including all info such as weight, quantity, custom fields, etc.

Customers

Customers and all of their data can be exported from the Customers overview.

Select the relevant headers (or click Select all at the bottom), then click Export to generate a file with all customers from the overview.

Tip! Sort by a customer group or filter by a custom field to narrow down your export.


Data export

Data Export in Rackbeat allows you to export Customers, Customer Groups, and Customer Contacts, using the underlying mapping IDs instead of names.

When importing into Rackbeat or setting up an API integration, it is often necessary to use the ID numbers rather than names to ensure correct mapping—this is where Data Export is especially useful.
